If you’re reviewing your current supplier, or returning to the market after a few years, pricing and service levels may have changed more than you expect.

Providers don't always advertise rates upfront, and costs can vary quite a bit depending on your building and requirements.

This guide breaks it all down. By the end, you'll know what's included in a typical service, what affects the price, and what questions to ask before you sign up.

What does a sanitary bin service actually include?

A sanitary bin service isn't just a bin. You're paying for a complete, managed service that typically covers the supply and installation of the bin, regular collections on a scheduled basis, safe disposal of sanitary waste in line with legal requirements, sanitising of the unit at each visit, and a replacement liner at every service.

The key point: the waste is classified as offensive or hygiene waste under UK regulations. It needs to be collected and disposed of by a licensed carrier. You can't put it in your general waste. A managed service takes care of all of that for you.

So what does it cost?

Costs vary, and any provider quoting you a single flat rate without knowing your building probably isn't giving you an accurate picture.

That said, here are the factors that typically influence the price.

Number of bins

The more bins you need, the more you'll pay overall, though the cost per unit often decreases as volume increases.

Collection frequency

Collections are usually every four or eight weeks. High-footfall buildings, such as schools, hospitals or busy retail sites, may need more frequent visits. More visits mean higher annual costs.

Your location

If you're in a rural area or somewhere that requires additional travel time, that can affect pricing. Most national providers, including phs, cover the whole of the UK, so this is less of an issue than it once was.

Contract length

Longer contracts tend to bring the per-service cost down. Make sure you understand the notice period and any early exit terms before you commit.

Type of premises

A single-cubicle staff toilet in a small office has different requirements to a multi-floor hospital, a busy pub or a school with 500 pupils. The service should reflect your actual usage.

Is there a legal requirement to have sanitary bins?

Yes. The Workplace (Health, Safety and Welfare) Regulations 1992 require employers to provide suitable facilities for the disposal of sanitary waste in female toilets. You also have a duty of care under the Environmental Protection Act 1990 to ensure that waste is stored and disposed of safely.

Getting this wrong isn't just a compliance risk. It's an issue that affects the people using your facilities every day.

What should you watch out for?

A few things are worth checking before you agree to any contract:

  1. Make sure the provider holds the correct waste carrier licence.
  2. Ask for a copy if you're not sure.
  3. Make sure your service includes the appropriate waste documentation, such as waste transfer notes, at each collection.
  4. Check whether there are any additional charges for consumables, missed visits or early termination.
  5. Consistency of servicing and visibility of compliance are common pain points when organisations switch providers.

A reputable provider will be upfront about all of this.
